Who we are

aiinnyc.org and the AI in NYC Show, newsletter and dinner series are operated by AI Media Concepts Inc. (“AI in NYC”, “we”, “us”). This policy explains what personal information the site collects, why, who handles it, and the choices you have.

Information you send us

Dinner invite requests. When you request an invitation to an AI in NYC dinner, we collect your name, email address, company, LinkedIn profile, an optional phone number and your message. We use them to review your request, to get in touch about the dinner and, if you attend, to plan the evening. Requests are emailed to our team and stored in our Airtable workspace, where we review them.

Community event submissions. When you submit an event for our events page, we collect your name and email address and the event details. We use your contact details only to ask about the submission. If we approve the event, its name, date, time, location, description and RSVP link are published on aiinnyc.org/events; your name and email are not published.

Sponsorship inquiries and the contact form. We collect your name, email address, company and message, and use them only to reply and to discuss what you asked about. These messages are emailed to our team and not stored in a database by the site.

Newsletter. Our newsletter runs on beehiiv. When you subscribe, your email address goes to beehiiv, which operates the newsletter under its own privacy policy; we see the subscriber list beehiiv provides to publishers. You can unsubscribe from any issue.

Analytics and cookies

We use Google Analytics to understand how many people visit, which pages they read and where they come from, and Microsoft Clarity to see how pages are used, through heatmaps and recordings of how visitors scroll, move and click. Both set cookies or similar technologies in your browser and process information such as your IP address, device and browser type, and interactions with the page. We use this information only to improve the site; we do not use it for advertising or to identify you.

If you visit from the European Economic Area, the United Kingdom or Switzerland, neither Google Analytics nor Clarity loads unless you accept them in the banner shown on your first visit; we keep your choice in a cookie for 180 days, and you can change it at any time with “Cookie settings” at the foot of every page. To know whether to show the banner, the site sets a small cookie recording only whether your country is one of these, based on the country our host derives from your connection.

Google and Microsoft process this data under their own privacy terms. You can block these cookies in your browser settings, use Google’s opt-out browser add-on for Google Analytics, or use a content blocker; the site works without them. Both are skipped for search-engine crawlers and automated browsers.

Episode videos are embedded from YouTube using its privacy-enhanced mode, which is designed not to set YouTube cookies until you play a video. Playing one is subject to Google’s privacy policy.

Who handles your information

We use service providers for specific purposes: Vercel (hosting the site), Resend (delivering form submissions to our inbox), Airtable (storing dinner requests and event submissions for review), beehiiv (the newsletter), Google Analytics and Microsoft Clarity (site analytics), and YouTube (episode video). They process information on our behalf or, for beehiiv and YouTube, as operators of their own services.

We do not sell or rent personal information.

How long we keep it

Dinner requests and event submissions are kept in Airtable for as long as we run the series and need them to manage invitations and events, and are deleted on request. Emails from the forms are kept as long as needed to respond and manage any resulting relationship. Analytics data is kept under Google’s and Microsoft’s retention settings. Newsletter data is held by beehiiv until you unsubscribe or ask it to delete your information.

Your choices and rights

You can ask what personal information we hold about you, ask us to correct it, or ask us to delete it, by emailing hello@aiinnycshow.com. Depending on where you live, including California and the European Economic Area and the United Kingdom, you may have additional rights under local law, such as the right to object to or restrict processing or to withdraw consent; we will honor them where they apply. We will not treat you differently for making a request.

Children

The site and our events are for adults. We do not knowingly collect personal information from children under 16.

International visitors

We are based in New York, and our service providers may process information in the United States and other countries. By using the site or contacting us, you understand that your information may be processed outside your own country.

Security

The site is served over HTTPS, the forms are protected against automated submissions, and access to our Airtable workspace and inboxes is limited to our team. No method of transmission or storage is completely secure, but we take reasonable steps to protect what you send us.

Changes to this policy

If we change what we collect or how we use it, we will update this page before the change takes effect and revise the date at the top.
